Display settings in webmail

Workspace Webmail lets you customize its appearance and behaviors.

To Configure Your Display Settings

  1. Log in to your Workspace Email account and open your product. (Need help logging in?)
  2. From the Settings menu, click Display Settings.
  3. Go to one of the following tabs, make any changes you want, and then click OK.

Time

Set the time zone and date format, specify the amount of idle time that can elapse before the system logs you off, and specify how often to refresh your folders.

Viewing

  • Display Attached Images — Display all image files attached to the email without downloading them to your computer.
  • Enable Message Preview Pane — Display a window beneath your list of emails that lets you view an email by selecting it.
  • Mark Messages as Read on Preview — Mark messages as read when viewing in the preview pane.
  • View After Action — Select what you want to view after performing an action with a message, such as deleting or flagging it.

Composing

  • Use Pop-up Compose — Select to view the Compose window in a new browser window.
  • Use HTML Compose — Select to use the Rich Text editor when composing emails.
  • Select Spell Check Tool — Select a spell-checking tool to use when composing emails.
  • Always Spell Check Before Send — Select to automatically check spelling before sending messages.
  • Default Message Font — Select the default font, size, and color for composing messages.
  • Default Delay for Scheduled Email Deliver — Select a length of time to delay sending your emails.
  • Put People I Reply to in My Address Book — Select to add contacts to your address book when you reply to an email from them.
  • Unsaved Draft Protection — Select one of the following options for handling unsaved or unsent emails:
    • Full — A pop-up window displays letting you Return to Message, Save as Draft, or Close without saving.
    • Basic — A pop-up window displays letting you save the email in your draft folders.
    • Off — Do not use any unsaved draft protection.
  • Automatically Save Draft — Select the frequency that Workspace Webmail automatically saves drafts of messages you compose.
  • Copy Email Messages to Sent Items When Sending Mail — Select when you want Workspace Webmail to save emails you send to your Sent Items folder.
  • Include Reply by default when Sending and Filing — Select to have Workspace Webmail file your reply email when you use Send and File while replying to an email.
  • Save a copy of message in Sent Items when Sending & Filing — Select to save your reply to the Sent Items folder when you use Send and File while composing email.
  • URL Linking on Send — Select to automatically convert email address and Web addresses as clickable hyperlinks when you send email using the Rich Text editor. To ensure this works, select Use HTML Compose.

Calendar

If you have a Calendar account associated with your Workspace Webmail account, you can display your Calendar events and tasks in Workspace Webmail.

Select if you want to show events or tasks above your Mail index, and the number and types of items to display. Click OK to save the setting.

Action Bar

The Action Bar displays six actions when viewing your emails. You can customize these to fit how you use email by clicking and dragging action buttons from the Available Buttons menu to the Selected Buttons menu.

Themes

Select a color theme for your Workspace Webmail interface.

Other

  • New Mail Sound — Select a sound to play when you receive new email.
  • Open Each Application in a New Window — Select to view your WorkSpace applications in a new browser window when you go to that application’s tab.
  • Delete messages immediately (Purge) and do not send to Trash folder — Select to purge all deleted messages instead of moving them to the Trash folder.
  • Keep message selections after applying actions — Select to have messages stay selected after you apply actions to them.
  • Enable 2nd Toolbar with These Items — Select the actions you want to display on a second toolbar, beneath the Action Bar.
  • Enable shortcut keys — Select if you want to enable keyboard shortcuts in your Workspace Webmail.

Reset your email password

 Warning: This article is specific to Workspace email passwords.
Help for cPanel email passwords
Help for your IFindHost – CheapDomainRegistration.com account password

You may not know your email password, or maybe you’ve forgotten it (and it’s not saved in your browser.) If you are the Workspace account administrator, and have access to your overall IFindHost – CheapDomainRegistration.com account, you can reset any of your users’ email passwords (including your own).

 Note: If you are not a Workspace account admin, just send these instructions to the account owner so they can reset your password for you.

  1. Log in to your IFindHost – CheapDomainRegistration.com account. (Need help logging in?)
  2. Click the email address you want to edit.

     Note: If you only hover over the email address, you’ll get a pop-out window. Here you can click Edit, and continue.

  3. In the Change password field, enter the new password.
  4. In the Confirm Password field, re-enter your new password.
  5. Click Save.

Next step

  • It can take up to 30 minutes for your new password to that effect. So, after that time have your user try logging into their email, again.

Email account limitations

 Warning: These limitations apply only to Workspace email. For other limitations, see Server Email Limits.

The following limitations apply to Workspace Email accounts:

  • Incoming Mail Size — There is a 30MB limit per email message you receive, including file attachments, which have a size limit of 20MB total. Messages larger than 30MB are rejected by our incoming server and a bounceback message is sent to the sender. There is no limit on the number of email messages you can receive. You should also try to keep your inbox under 20,000 messages, as having so many could limit performance.
  • Outgoing Mail Size (SMTP Relay) — There is a 30MB limit per email message that you send using SMTP, including file attachments, which have a size limit of 20MB total. Messages larger than 30MB are rejected by our outgoing server and you are notified.

     Note: The receiving mail server may have different size restrictions. Many mail providers and ISPs will reject mail larger than 5-10 MB.

  • SMTP relays — SMTP relays let you send emails through our servers using third-party clients, such as Microsoft Outlook®. To prevent spam, we limit our email accounts to 250 SMTP relays per day. This lets you send 250 emails from your email address on a daily basis.
  • Emails per folder — No one folder can exceed 330,000 emails. If you’re using IMAP with an email client like Outlook®, no folder can exceed 25,000 emails.
  • Folders – An account cannot have more than 2,000 folders.
  • Sent Mail Messages — To prevent spam, we limit the number of email recipients to whom you can send messages to 500 per day. There is a 200 per minute sending limitation as well as a 300 per hour sending limitation. Any distribution lists are expanded to their actual recipient lists and any duplicate addresses in a single email are removed. For additional information, please contact customer support.
  • Outgoing Mail Size — There is a 30MB size limit per email message, which includes file attachments. Meaning, your message cannot exceed 30MB in size, including the size of your file attachments. File attachments have a size limit of 20MB total.
  • Number of Addresses — There is a limit of 100 addresses on a single email message. The 100 addresses may be included in any combination of the To, CC, and BCC fields. If there are more than 100 total addresses, the Compose window shows an error and the message is not sent. You must revise the recipient list and then resend your message.

    Counting recipients: WebBased Email expands any distribution lists and aliases to their actual recipients. Any duplicate addresses in the To, CC, and BCC fields are removed.

  • Address Book — You can add up to 10,000 contacts to your Address Book.
  • Address Book Importing — You can import up to 2,000 contacts at one time to your Address Book.
  • Distribution Lists — You can add up to 100 contacts to a single distribution list.

Set up a forwarding email account

You can set up an email address solely for the purpose of forwarding messages to other mailboxes. No email gets stored at the forwarding address that you set up; all email gets immediately directed to the destination email address.

 Warning: If you want to use an email address that you’ve already set up with email as your forwarding account, you’ll need to delete that address, and then follow these instructions.

If you don’t want to delete the address, you can set up forwarding copies of incoming emails, to another inbox.

 

  • Log in to your Workspace Email account and open your product. (Need help logging in?)
  • Your next step depends on if you are using a free forwarding pack:
    Using a free forwarding pack? Then…
    Yes Next to Email Forwarding, click Set up. Continue with the next step.
    No Skip to step 7.
  • Choose the domain registration you want to use to create your forwarding account.

     Note: While the free credit is attached to a specific domain name on the list, you can attach the credit to any domain in your account, when you create the actual forwarding account.

  • Click Set Up.
  • Click the X to close the Product Setup window. Your free account will show up in your Workspace account list, labeled New Account.
  • Next to Workspace Email, click Manage.
  • Click the Set up forwarding accounts, click create forward. Create Forward button.
  • Complete the on-screen fields:
    Field What to do…
    Forward this email address: Enter the email address you want to create. After you type @, you will be able to select any domain in your account.
    To these email addresses: Enter the email addresses you want to receive the forwarded email. You can enter multiple addresses, but they must collectively fit the 250 character limit for this field.
    Plan Select the forwarding plan you want to use.
    Catch-all Select this option if you want this address to receive email sent to addresses at your domain name that do not exist.
    Enable auto reply Select this option, and fill out the additional fields, if you want to send an automatic reply to everyone who sends email to this address.
  • Click Create.

 

Next step

  • Once your forwarding address is set up you need to make sure your MX Records for that domain are correct. You can check your MX records in your Workspace account.
  • If your MX records are not correct in the above step, copy the MX records displayed in your Workspace account, and use those details to add an MX record to your domain (or edit an existing MX record, if you have one).
